Zahlungsintervall, Vertragslaufzeiten, Kündigungsfristen

Hostware separates billing frequency from contract terms so you can define each once and reuse them across products. A payment interval (Zahlungsintervall) controls when and how invoices are created, while a contract term (Vertragslaufzeit) controls the duration, cancellation rules, and discounts of a service. You assign both to a product independently; services then inherit the settings from both models.

Zahlungsintervalle

Payment intervals define how often a service is billed and what conditions apply to invoicing and reminders.

Invoicing

You can define the number of days a customer has to pay the invoice after it has been created.

If the invoice does not get paid within the days defined in this setting, it gets marked as overdue.

Offset invoice creation

You can set the invoice to be created not on the renewal date, but a number of days before the renewal.

If set to 0, the invoice will be created on the renewal date.

Free trial and reminders

Payment intervals also control whether a service starts with a free trial and whether friendly renewal reminders are sent before the next billing cycle. For details, see Free Trial and Friendly Renew Reminder.

Contract terms define how long a service runs and how it can be cancelled.

Cancellation requests flow

The cancellation approval mode is configured per contract term. It can be handled in two ways:

  • Automatic

  • Manual

If it is set to Automatic, the customer can submit a cancellation and it is created immediately with the normal confirmation email.

If it is set to Manual, the service cancellation request will need the admin approval, the customer gets a “request received” message, and an admin must confirm it in Billing > Cancellations. During that admin confirmation step, the cancellation date can be adjusted before the final confirmation email is sent.

Cancellation revocation period

Set the minimum number of days before the scheduled cancellation date during which a cancellation can still be revoked. If the customer tries to revoke the cancellation after this deadline has passed, the revocation is blocked and the customer is instructed to contact support.

If the value is set to 0, he can revoke the cancellation at anytime.
